Position Available

We are seeking an experienced Accounts Payable Specialist to join our team.  You will be working on-site in Simi Valley as part of a small finance department.  The department handles all accounting, report preparation, accounts payable and accounts receivable, audit, budget and tax reporting.  This position will report to the Controller.

Duties and Responsibilities

Manage the weekly accounts payable process including collecting, obtaining, reviewing, and entering A/P invoices and expense reports for the entire organization.  This includes checking the accuracy of figures, calculations, and other information submitted by other departmental employees and vendors. You will be responsible for ensuring invoices are paid on a timely basis.  This includes following-up with individuals when needed for coding, invoice submission and general A/P policy and procedures clarification.  This also includes performing administrative work such as sorting, filing, creating file folder labels, and maintaining the filing system.

This position will perform the following:

  • Review, verify, and enter vendor invoices accurately.

  • Ensure invoices have the correct coding and approvals.

  • Audit expense reports and reimbursement requests to ensure compliance with company policies.

  • Review and audit corporate credit card transactions for proper coding and compliance with company policies.

  • Maintain vendor records, including obtaining and updating W9 forms and payment details.

  • Process manual payments for wires and other electronic payments.

  • Investigate and resolve discrepancies in accounts payable, collaborating with vendors and co-workers as needed.

  • Monitor open AP balances and vendor statements to ensure timely follow-up on unapproved and/or outstanding invoices.

  • Review, correct and process annual 1099s to vendors. 

  • Assist in the development and implementation of policies and procedures to help improve, resolve and document accounting processes and practices including identifying opportunities for process improvements.

  • Other duties as assigned.  Foundation staff are often called upon to assist with events involving the public.  These are generally after hours and require direct contact with the public and our special guests. 

Qualifications and Requirements

The successful candidate will possess the following skills and traits:

  • The successful candidate must be passionate about President Ronald Reagan’s legacy and principles; individual liberty, economic opportunity, global democracy and national pride.

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred).

  • 2+ years of experience in Accounts Payable.

  • Excellent data entry skills including a strong attention to detail.

  • Knowledge of accounting principles and accounts payable processes and best practices.

  • Have an understanding of financial systems and accounting architecture (i.e. know how subledgers relate to and interact with general ledgers).

  • Knowledge of Microsoft Office tools, including strong Excel skills (pivot tables, VLOOKUP, etc.).

  • Must be resourceful and possess excellent problem-solving skills.

  • Must be highly organized.

  • Ability to meet deadlines and handle multiple simultaneous priorities.

  • Good interpersonal, writing, and verbal communication skills.  

  • Ability to maintain a high level of confidentiality with a strong sense of personal integrity.

  • Eager to learn and participate in continuous improvement.

  • Maintaining a positive attitude.

  • Ability to work occasional evenings, weekends, and holidays for special events, including the Reagan National Defense Forum held annually on the last weekend of November/first weekend of December.

Compensation and Benefits
  • This is a non-exempt, part-time position based at The Ronald Reagan Presidential Library in Simi Valley, California.  This position is in-person with the potential of becoming a hybrid role (partially in person and partially remote). 

  • This position will be compensated on an hourly rate between $25.00 to $30.00 per hour.  The rate will be commensurate with experience.  

  • The Foundation offers an excellent package of benefits, including:

  • 48 hours of paid time off (PTO) per year for the first five years, with a step up to 60 hours after the 5th year.

  • Retirement plan with 10% employer contribution per year after 12 months of service and at least 1,000 hours worked each year.
