Ronald Reagan Presidential Foundation & Institute

The Ronald Reagan Presidential Foundation and Institute (RRPFI) is a nonprofit, non-partisan organization that sustains the Ronald Reagan Presidential Library and Museum, the Center for Public Affairs, the Walter and Leonore Annenberg Presidential Learning Center, and Air Force One Pavilion in Simi Valley, California, as well as education and public affairs programs in Washington, D.C. through the Reagan Institute. The Reagan Library, located in Simi Valley, California, houses over 55 million pages of Gubernatorial, Presidential and personal papers, and tens of thousands of gifts and artifacts chronicling the life and legacy of America’s 40th President.  www.reaganfoundation.com 

Position Available

We are seeking a part-time Development Assistant at the Ronald Reagan Presidential Foundation and Institute.  As a member of the Development team, the Development Assistant will report directly to the Associate Director of Development and will be responsible for the following: data management, filing and reporting, membership support, and general administrative functions. 

Duties and Responsibilities

  • Performs the following clerical functions: word processing, developing and manipulating spreadsheets, mail-merge, creating reports, copying, editing, filing, faxing and other related functions.
  • Provides general administrative support to the Major Gifts and Membership teams, under the direction of the Chief Development Officer.
  • Maintains proficiency with the database, including writing reports, accessing and updating donor files, and maintaining information on prospecting and donor contacts.
  • Answers department telephone promptly and courteously, responding to donor inquiries, and accepting credit card donations, special event registrations, private quarters tour requests. Provides quality customer service to all donors.  Works with direct mail vendor to resolve premium issues for donors.
  • Coordinates all meetings, reserving meeting space and coordinating audio visual needs. Produces and distributes all related materials for meetings including updating the weekly Master Prospect Sheet.
  • Assists with coding and segmentation of Legacy Council members, and other special donor and prospect groups.
  • Runs reports for membership renewals and lower-level donor acknowledgments for membership and gift processing vendors.
  • Verifies processes and submits matching gifts after securing a signature from the Financial Controller. Receives and acknowledges confirmed matching gift payments.  Keeps accurate records for Matching Gift payments.
  • Processes credit card transactions for the Foundation as needed.
  • Updates donor records in Salesforce as needed (i.e. mailing list additions/removals & donor communication preferences).
  • Coordinates Fed-Ex and UPS shipments for larger and/or significant mailings.
  • Creates proper mail merges for invitations and/or mailings. Maintains invite lists for special events.
  • Assists with special projects and prepares special correspondence, as directed.
  • Supervises the upkeep of general department office equipment, including ordering of supplies.
  • Participates as a member of the Development team, including attendance at meetings and special events; collaborates with others in the Department and in other Reagan Foundation departments; and prepares analyses and written reports, as needed.
  • Maintains proficiency in relevant computer applications.
  • Performs other related duties, as assigned.

Minimum Qualifications

  • Bachelor’s degree preferred.
  • Mandatory COVID-19 vaccination policy for all staff.
  • Minimum two years successful experience working in an office environment, preferably in a nonprofit organization.
  • Proficiency in donor and prospect database management, especially Salesforce or similar system, MS Word, Windows and Excel
  • Experience in data entry, batch entry and verification of data entry preferred.
  • Proficiency in clerical functions, including mail-merge functions, voice mail, email, internet, filing, and mailing.
  • Detail oriented, with ability to work well under pressure and meet deadlines.
  • Experience and ability to work independently and collegially in a fast-paced, goal oriented environment.
  • Ability to work overtime, evenings and weekend events occasionally.
  • Ability to perform data entry functions quickly and accurately, and for long periods of time.
  • Excellent oral and written communication skills.
  • Excellent organizational and interpersonal skills.
  • Good problem-solving skills.
  • Ability to maintain a high level of confidentiality.

Salary/Benefits/Work Location

This is a non-exempt part-time position, with some evenings and weekends required.  This position offers an hourly wage commensurate with experience.  The position will be located at The Ronald Reagan Presidential Foundation and Institute, Simi Valley, California.
