About Us:

The Ronald Reagan Presidential Foundation and Institute (RRPFI) is the sole nonprofit organization created by President Reagan charged with continuing his legacy and sharing his principles - individual liberty, economic opportunity, global democracy and national pride. The Foundation is a non-partisan organization which sustains the Ronald Reagan Presidential Library and Museum in Simi Valley, CA, the Reagan Center for Public Affairs, the Presidential Learning Center, The Air Force One Pavilion, the award-winning Discovery Center and the Reagan Institute, which carries out the Foundation’s mission in Washington, D.C.  The Reagan Library houses over 55 million pages of Gubernatorial, Presidential and personal papers and over 60,000 gifts and artifacts chronicling the lives of Ronald and Nancy Reagan. What You’ll Be Doing:

We are seeking a full-time Event and Marketing Outreach Coordinator to work for the Foundation’s Chief Marketing Officer. You will help market the Reagan Library through networking, hotel ticket sales, tour group tradeshows, and partner meetings. You will also help plan, manage and orchestrate all internal Foundation events – donor events, education events, Center for Public Affairs public programming events, and the annual Reagan National Defense Forum. Many of these events occur on evenings and weekends, including some holidays.

  • Demonstrate excellent communication skills, both written and verbal.
  • Have the ability to organize and oversee vendors and event teams in an energetic and motivating way.
  • Have strong organizational capabilities and the ability to multitask in order to provide strong support to the Event Team.
  • Have exceptional customer service skills. 
  • Be enthusiastic, energetic, and a reliable self-starter.
  • Have computer skills in all Microsoft Office programs; be a strong user of computers as a work tool; have experience with web tools/databases (preferred); experience with Salesforce a big plus.
  • Have the ability to work evenings, weekends, and holidays for events (2-4 times per month).
  • Demonstrate planning and organizational skills with attention to detail and high level of accuracy.
  • Have the ability to collaborate and work in a team environment.
  • Exhibit strong work and time management skills, including flexibility, punctuality, reliability, and adaptability.
  • Demonstrate experience analyzing and solving problems as well as assessing priorities.
  • Have initiative, integrity, flexibility, and stress tolerance, which are essential.
  • Possess a positive attitude.
  • Have a high school diploma (or equivalent) (required); college degree preferred.

Your Duties and Responsibilities as The Event and Marketing Outreach Coordinator Include:

Working under the supervision of the Chief Marketing Officer, and in consultation with senior Development, Education staff, and the Facility Rentals team, you will be responsible for the following duties:

  • Attend approximately two tradeshows per year to meet with tour group operators to market and sell the Reagan Library
  • Phone outreach and meetings with local hotels to sell Reagan Library tickets into concierge departments
  • Network the Reagan Library at Chamber mixers, local tourism shows and street fairs
  • Assist the Development and Education Departments with planning and executing events.
  • Assist the Chief Marketing Officer in planning and execution of all logistics for our Center for Public Affairs programming.
  • Help plan, manage and orchestrate the Foundation’s annual Reagan National Defense Forum -  a high profile, two-day event which requires up to six months of planning.
  • Specific event duties include: Lead walk-throughs, oversee event setup and take-down, create event “play by plays” (detailed outlines of events for staffing purposes), oversee staff working each event, brief senior team leaders on event plans.
  • Plan, coordinate, and execute events in an effective, efficient, and creative manner.  Serve as the expert in the area of events to provide creative solutions and other support that resulta in professionally-delivered and successful event outcomes.
  • Meet with staff and volunteers to assess event expectations and objectives and to develop an event work plan.
  • Order event signage and programs when necessary.
  • Ensure appropriate décor to include floral arrangements and linens.
  • Manage project budgets, staffing, and negotiation with vendors.
  • Determine roles and assign staff to ensure appropriate coverage on each event.
  • Manage and monitor the progress throughout the event to facilitate the smooth operation of each event.
  • Prepare a post-event review to determine if event goals were accomplished/expectations met.
  • Any other duties as assigned.
